As the Executive Assistant/Project Coordinator at Hands-Off CEO, you are the cornerstone of efficiency and a key facilitator of our visionary goals. You will be responsible for managing the CEO’s and other executives' schedules, facilitating communication, and supporting broader team needs. This role demands a proactive, meticulous, and highly organized individual who thrives in a dynamic environment and embodies our core values of vision building, rapid transformation, radical ownership, empathy, and refined excellence.

Key Responsibilities:

  • Manage the CEO's and other executives' schedules, ensuring maximum efficiency and alignment with strategic priorities
  • Facilitate seamless communication between the CEO, team members, and external partners
  • Coordinate high-caliber company events and manage sophisticated client interactions
  • Assist in the development and execution of marketing strategies
  • Support the execution of operational procedures and project management using tools like ClickUp
  • Manage client relations, including onboarding, ongoing communication, and strategic session scheduling
  • Conduct research to support team initiatives and identify growth opportunities
  • Coordinate the CEO's public engagements and speaking events
  • Provide administrative support across various departments

About you

  • 3-5 years of experience as an Executive Assistant, particularly supporting senior-level executives or visionaries
  • Exceptional organizational and time management skills
  • Strong proficiency in office productivity tools (MS Office, Google Suite) and project management software (ClickUp, Asana, or similar)
  • Experience with CRM software, especially Infusionsoft and GoHighLevel
  • Excellent verbal and written communication skills
  • Strong problem-solving abilities and the capacity to work independently
  • Demonstrated ability to handle confidential information with discretion and integrity
  • Proactive mindset with a talent for anticipating needs and resolving bottlenecks
